Gemini for small businesses: new tools, practical workflows and limits

Prepare visual-brand material, check spreadsheet analysis and choose connected services. Practical workflows for small businesses evaluating Gemini.

Craft workspace with a laptop, product card, colour palette and envelope

On October 20, Google announced Gemini tools for small businesses: a dedicated landing page, visual-brand features, financial-file workflows and connected services. The global rollout is gradual over the following days. A missing section in a particular account therefore does not automatically indicate a fault.

What Google announced

Named integrations include Google Business Profile, Ads, Workspace, Canva, Shopify and Xero. For branded images, the announcement describes retaining a visual style with Nano Banana 2.1. Practical value still depends on the material you provide and how you check the result. The examples below are workflows you can adapt to your own shop or service.

Check the available connections first

Google’s Connected Apps documentation explains that availability varies with the device, country and account type. On the web, find the list through Customize → Connectors; if Customize is not visible, open More first. Check the supported actions on each connector’s page. A service appearing in a general announcement does not establish that every operation is already available in your account.

For a first attempt, we recommend a bounded task, such as drafting a revised product description from one selected file. Review the draft, check the specifications and then decide whether to transfer it to the shop. If a service offers to edit external content, read the action confirmation carefully. This lets you assess value using familiar material without combining connection, analysis and publication into one poorly understood step.

Prepare a small visual-style package

Instead of asking for something that “looks nice”, assemble an approved logo, a colour palette, one example composition and a list of things that must remain unchanged. For a product card, these might include shape, colour, included accessories and packaging text. State the image’s purpose separately: a newsletter cover, banner or background. This is our suggested way to define a task, not a promise that the model will perform it without errors.

Gemini’s ordinary image editor supports supplied images and follow-up edits. Coordinated colours do not, however, make an image an accurate product photograph. Before use, inspect small text, object edges and included items. If an image only illustrates a concept, label it accordingly. A customer should understand what they will receive regardless of which tool produced the advertisement, especially when the depicted details could influence a purchase.

Work through a sales spreadsheet

Gemini can accept spreadsheets and create charts from them. Documents have a limit of 100 MB per file, with up to ten files in a prompt subject to availability. Google also warns that excessive input can cause details to be missed. For an initial analysis, use one clearly defined period and a table with labelled columns instead of uploading everything at once.

Here is an example prompt we suggest: “Compare September and October sales. First check duplicate rows, missing dates and mixed currencies. Show which rows were excluded. Summarise order count and revenue separately, and connect conclusions to the source values.” That sequence creates an opportunity to spot a data problem before a persuasive chart appears. If October is incomplete, compare equivalent periods or explicitly account for the different duration.

After the response, check at least the overall total in the original spreadsheet and a few randomly selected rows. Higher revenue alone does not establish higher profit: costs, refunds and other conditions may be absent from the file. This is advice for checking an analysis, not an accounting conclusion. Do not let the model fill missing numbers with guesses; ask it to list the information it still needs.

Personal accounts and managed Workspace accounts differ

For work accounts, access to connected apps depends on the Workspace edition and administrator. Google also warns that Gemini can use an older document or email instead of the latest information. Check the source and date, particularly when prices, opening hours or delivery terms have changed. Retrieved text is not necessarily the company’s current rule, even when the response presents it confidently.

The Gemini Apps Privacy Hub explains that people may review some data and that data can be used to improve services; Google advises against entering confidential information you would not want handled that way. Before uploading a customer spreadsheet, check the terms applicable to your own account and remove unnecessary personal details. Our AI privacy checklist covers information that should not casually be shared with an assistant.

Start with a result you can check

Choose work you can assess quickly: three descriptions of a familiar product, a banner concept or a summary of a small table. Keep the source file and prompt, record the time spent correcting the output and compare it with your usual process. If checking takes longer than generation saves, change the task or its inputs. That small evaluation will tell you more about the value to your business than a broad productivity claim.
